BeeFree Accounts is a bookkeeping and BAS agency operated by Mandy Stewart, based in Brisbane, Queensland, Australia.

This Privacy Policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What Information We Collect

We may collect the following types of personal information:

– Name, email address, phone number and business name
– Business financial records, transactions and accounts (necessary to deliver bookkeeping and BAS services)
– Tax file numbers and ATO portal credentials (where required to lodge on your behalf, and only with your explicit authorisation)
– Payroll records and employee information (where we manage your payroll)
– IP address, browser type, pages visited and cookie data (see Section 5)
– Information you submit via our contact form, email or phone

We only collect information that is necessary for our work.

3. How We Use Your Information

We use your personal information to deliver bookkeeping, payroll, BAS lodgement and other agreed services; communicate with you about your account or enquiries; lodge returns and reports with the ATO and other government bodies on your behalf; issue invoices; comply with our legal obligations as a registered BAS Agent and ASIC Agent; and improve our website.

We will not use your information for direct marketing without your consent, and we will not sell your data, ever.

4. Cookies and Website Analytics

Our website uses cookies and Google Analytics to understand how visitors use the site. Google Analytics collects anonymised data. You can opt out at tools.google.com/dlpage/gaoptout. You can also disable cookies in your browser settings at any time.

We do not use cookies for advertising purposes or to track you across other websites.

5. Third-Party Services

In delivering our services, we use Xero, MYOB, QuickBooks, Google Workspace, the ATO portal, ASIC, and a booking platform. Each has its own privacy policy. We only share your information with third parties where it is necessary to deliver agreed services, required by law, or with your explicit consent.

6. How We Store and Protect Your Information

Client files are stored in secure, cloud-based platforms using encryption in transit and at rest. We use strong passwords and multi-factor authentication across all platforms. We retain client records for a minimum of seven years as required by Australian taxation law.

In the event of a data breach likely to cause serious harm, we will notify affected individuals and the OAIC as required under the Notifiable Data Breaches scheme.

7. Your Rights

You have the right to access the personal information we hold about you and to request corrections if it is inaccurate. To make a request, contact us at mandy@beefreeaccounts.com.au. We will respond within 30 days.

8. Complaints

If you believe we’ve handled your personal information incorrectly, please contact us directly first. If you’re not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.

We may update this policy from time to time. When we do, we’ll update the “Last updated” date at the top of this page. Continued use of our website or services after any changes constitutes your acceptance of the updated policy.
